Job Description

We are seeking an experienced Data Entry Team Lead with a proven track record of at least 3 years in a leadership role within the data entry field. The ideal candidate will be responsible for managing a large team, overseeing operations across multiple shifts, and ensuring the efficient and accurate completion of tasks. This position requires close collaboration with the product team to optimize operations, drive continuous process improvements, and ensure the team operates with the necessary resources and infrastructure to meet objectives.

Key Responsibilities

Shift Management

  • Oversee data entry operations across various shifts, ensuring smooth handovers and continuity of work.
  • Ensure that shift schedules are properly coordinated, with coverage for early logins or extended hours when deadlines demand.
  • Maintain a backup system for critical resources and tasks, avoiding any single points of failure.

Performance and Productivity Management

  • Monitor key performance metrics, ensuring team members meet and exceed established targets.
  • Walk the floor regularly during shifts to address team members' questions, provide support, and resolve issues to maintain uninterrupted productivity.
  • Take swift action to resolve issues, ensuring all deliverables are completed on time.
  • Conduct training sessions and team bonding activities to keep engagement high and productivity at its peak.

Crisis and Escalation Management

  • Manage escalations effectively, including resolving technical problems, addressing employee health concerns, or managing safety issues.
  • Ensure clear and effective communication during crises, providing immediate solutions to minimize disruptions.

Resource Utilization and Infrastructure Management

  • Optimize resource allocation, ensuring all team members are fully engaged in value-adding activities.
  • Collaborate with IT to ensure all necessary infrastructure is in place, such as providing systems, internet access, and login credentials for employees.
  • Ensure team members have the tools they need to work efficiently and effectively.

Coordination with Product Team & Forecasting

  • Work closely with the product team to forecast and plan for resource needs in advance, especially in alignment with product launches or updates.
  • Drive the team to provide feedback on product-related changes, assess the impact, and ensure that issues are addressed promptly.

Reporting and Analytics

  • Prepare and distribute weekly and monthly performance reports, highlighting key metrics such as Target vs Achieved and Error Reports.
  • Share team performance insights with management and provide actionable recommendations for improvement.

Training and Development

  • Organize training sessions for new and existing employees, using process-related documents and presentations.
  • Ensure that training materials and knowledge transfer (KT) documentation are always up to date.
  • Empower validators to lead emergency training sessions when necessary.

Validator Updates and Process Improvements

  • Track the progress of file processing on an hourly basis to ensure efficiency and minimize delays.
  • Identify recurring errors and implement corrective measures, including conducting KT sessions to address frequent mistakes.
  • Perform dip checks on processed files to maintain quality and identify areas for further improvement.

Process Enhancement and Feedback Loop

  • Develop and implement new strategies and Standard Operating Procedures (SOPs) to improve team efficiency.
  • Foster a culture of continuous improvement by encouraging the team to identify process enhancements and share feedback.
  • Work closely with the product team to implement improvements, ensuring all inefficiencies are addressed and resolved.

Team Roster and Leave Management

  • Maintain an up-to-date roster for team members across shifts, ensuring proper coverage at all times.
  • Manage employee leave schedules and ensure there are no disruptions to daily operations.

Required Skills & Qualifications

  • Minimum 3 years of leadership experience in a data entry or similar operational environment.
  • Proven ability to manage large teams (40+ members), including across multiple shifts.
  • Strong problem-solving skills with the ability to address issues quickly and efficiently.
  • Experience working with cross-functional teams, including product, development, and IT departments.
  • Proficiency in planning, forecasting, and driving operational improvements based on team feedback.
  • Exceptional communication and organizational skills, with a focus on performance management and maintaining high standards of work.
  • Ability to handle escalations and crises in a calm and effective manner.
  • Strong leadership with a focus on team development and continuous performance enhancement.
