Sending the Secure Link to Recipients

Step 1. Navigate to the File or Folder.

  • Go to the document library in SharePoint Online, where the file or folder is located.
  • Select the file or folder you want to share.

Step 2. Click on the Share Button.

Once the file is selected, click the Share button, typically located in the command bar at the top of the page or next to the file.

Step 3. Choose Sharing Options.

When you click "Share," a sharing panel opens, allowing you to select who can access the file and how they can interact with it. To ensure security, choose appropriate sharing settings:

  • People in your organization: Limits sharing to people within your organization, ensuring that external parties cannot access the file.
  • Specific people: Allows sharing only with named individuals, inside or outside your organization.
  • Anyone with the link: (Not recommended for secure sharing) Enables anyone with the link to access the file. If using this option, disable editing and set expiration dates.

Step 4. Send the Link.

  • Enter the email addresses of the individuals you want to share the file with.
  • Add a message if needed.
  • Click Send.

Step 5. Manage File Permissions.

After sharing the file, you can review or change permissions at any time.

  • Go to the file in the document library.
  • Select the file and click the i (information) icon in the upper-right corner to open the details pane.
  • In the Has access section, you can see who has access to the file.
  • To stop sharing or adjust permissions (e.g., change from edit to view), click Manage Access, where you can remove users or change their permissions.

Notes

  • Emphasize the importance of sharing files with the minimum necessary permissions (e.g., "View only" when no edits are required).
  • Recommend using Microsoft 365 Groups or Teams to manage group permissions for easy file sharing across departments.
