Overview And Creation Of Approvals In Microsoft Teams Approvals App

For most of the Expense/Claims/Time-Charge approval, users must drop an email to their respective approver with the required receipts/ documents and a valid explanation for the same.

Now, right from Microsoft Teams, you can create an Approval Request with details and documents using the Approvals App. Let’s see a quick overview of the Microsoft Approvals app then get started with creating an approval request using the Approvals app.

Sign into your Microsoft Teams, From the left rail click on Add more Apps and search for Approvals like shown in Fig 1.1,

Click on Approvals App, this app will open as a personal scope into your Teams. This will display all the Approvals requested, approved, or rejected in form of a list like shown in Fig 1.2 Also you can filter based on the Approval type as Requested or approvals with custom answers,

Also, from the left navigation of the Approvals app, the user can check on all the approval requests a user has received for approval or sent as in you have created a new approval request, as shown in Fig 1.3,

Now, let’s get started with creating a new approval request from the approvals app. To create a new approval request, click on +New Approval Request as shown in Fig 1.4,

Approvals Request module will open as shown in Fig 1.5.

Give an Appropriate Approval Request name (Ex. Travel Expense Approval) in Name of Request,

Enter approver name also you can toggle on if you want approval from all the approvers you have added or you can keep the toggle off, Provide the additional details for your approval request also you can attach a receipt or any documents to this request,

You can add custom responses for your approval request.

You can also send this approval request to another environment toggle this on and select the environment from the drop-down.

After adding the necessary details, click on the send button and your approval request is ready, Voila

Once you send the approval request, approver will receive a notification in their teams, for that go to Teams Settings and click on Notifications and Edit the Approvals Notification and check if the appropriate notifications are set. as shown in Fig 1.6,

This is how a requested approval module will look as shown in Fig 1.7 where the approver can accept/reject/cancel request giving some comments,

Once the approval request is approved, the user will receive a notification in teams as shown in Fig 1.8,

And the approved request with approved tag is as shown in Fig 1.9 also you can look for every approval requested, approved/rejected from your Approvals app dashboard,

Users can also create this same approval request from their team’s channel conversation as shown in Fig 1.10,
